About TAMBA
The Tahoe Area Mountain Biking Association (TAMBA) is a volunteer-driven nonprofit organization that builds, maintains, and advocates for multi-use trails in Tahoe while providing education to all trail users and hosting fun community events. TAMBA works in partnership with land managers such as the U.S. Forest Service, Nevada State Parks, California State Parks, and the City of South Lake Tahoe. In addition, TAMBA helps maintain more than 100 miles of trail per year thanks in large part to the tens of thousands of hours TAMBA volunteers contribute annually.
Position Summary
TAMBA is seeking a highly motivated, organized, and detail-oriented individual for the Events & Development Coordinator position. This position provides administrative support for TAMBA’s fundraising and development initiatives, including donor recognition, data management and reporting, and community events. The Events & Development Coordinator position also plays an integral role in supporting the day-to-day operations of the organization, providing support to the TAMBA Board of Directors and Leadership team, and ensuring the smooth running of the TAMBA office and storage units. This position presents an exciting opportunity to gain first-hand experience in the varied operations of a growing nonprofit organization.
The Events & Development Coordinator reports directly to the Operations Manager and is offered as a full-time seasonal position from May to November. The position will require frequent travel throughout the Lake Tahoe area, as well as regular weekend and evening work to support TAMBA’s busy summer operations.
To be considered for the role, candidates must be able to demonstrate a commitment to excellence and a keen eye for detail, the ability to adapt quickly to the changing needs of an organization, confidence in interacting with a wide variety of stakeholders, and a keen interest in outdoor recreation including mountain biking, trails, and working with volunteers. Prior experience working for a nonprofit organization is preferred.
Duties and Responsibilities
Events (40%)
- Facilitate event volunteer recruitment, coordination, and recognition in order to create a positive and rewarding volunteer experience and ensure TAMBA events are well staffed.
- Manage volunteer and vendor waivers at TAMBA community events.
- Track and compile metrics and reports for event volunteer hours.
- Support the Operations Manager with planning and logistics for TAMBA’s community events.
- Play a key role in the execution of TAMBA’s major community events, including helping with set-up and tear-down, staffing the TAMBA vendor booths, processing payments, organizing merchandise, and managing volunteers.
- Respond to event participant inquiries before, during, and after events.
- Attend tabling opportunities at other community events around the Lake Tahoe basin to represent TAMBA and promote the organization’s mission and initiatives.
- Provide marketing support to help promote community events and engage volunteers.
Development (40%)
- Track donations and memberships, and coordinate the mailing of merchandise to donors.
- Maintain the Sponsors page on tamba.org to ensure major donors, businesses, and community partners are duly recognized.
- Support the Operations Manager with tracking and promoting TAMBA’s network of partners and sponsors.
- Maintain and manage member and donor information in Salesforce, ensuring all donations are recorded accurately and membership information is current and correct.
- Work with the Operations Manager to seek efficiencies in TAMBA’s current standard operating procedures for donor management and recognition, and help develop integrations between donation data platforms.
- Provide marketing support to help promote fundraising initiatives.
Administrative (15%)
- Track and manage merchandise inventory levels to ensure event and donor recognition needs are met.
- Manage, sort, and organize merchandise kept in the TAMBA storage unit.
- Respond to and manage general inquiries via the shared TAMBA email mailbox.
- Manage all administrative tasks for the TAMBA office, including ordering stationary, filing, and maintaining a tidy, organized space.
Board and Leadership Team Support (5%)
- Attend monthly Board meetings and manage logistics, including booking conference rooms and coordinating catering.
- Draft Board meeting minutes to provide an accurate record of discussions and decisions.
Skills and Experience
Required
- A demonstrated commitment to TAMBA’s mission.
- A strong interest in outdoor trail-based recreation and mountain biking.
- Exceptional organizational skills, including the ability to set priorities and manage a wide variety of responsibilities while maintaining a keen eye for detail.
- Strong computer skills, including proficiency with Google Suite and Slack.
- Experience working with and managing volunteers.
- Highly competent communication and interpersonal skills and experience working with a wide range of stakeholders on a regular basis.
- Excellent document preparation and writing skills.
- A willingness to work flexible hours to meet operational needs, including evenings and weekends.
- The ability to carry 50 lbs.
- A valid driver’s license and clean driving record.
Preferred
- Experience working for a non-profit organization.
- A working knowledge and understanding of Salesforce, including managing data and compiling reports.
- Experience with social media in a professional setting, including creating content and helping to manage accounts.
- Wilderness First aid or CPR certified.
Compensation and Benefits
The salary range for this position is between $18-$22 per hour, depending on experience. This position is offered as a full-time seasonal role from May to November. The following benefits are also offered with this position: paid sick and annual leave, paid holidays, and the option to participate in the organization’s health, vision, and dental insurance program. Retirement benefits are offered after a minimum qualifying period.
